Collaborating on Files with Comments and Pins

Use threaded comments, @mentions, and visual annotation pins to collaborate with your team and clients directly on any file.

Sydnee’s file comments and annotation pins bring the conversation exactly where it belongs: on the documents themselves. Whether you’re reviewing a tax return or giving feedback on a design, you can collaborate in real-time without ever leaving the portal.

Leaving threaded comments

To open the comments panel, click on any file to open the preview and then click the Comments button in the right-hand panel.

  1. Top-level comments: Use the rich text editor at the bottom of the panel to start a new conversation.

  2. Replies: Click Reply on an existing comment to start a thread. This keeps related feedback grouped together.

  3. Reactions: Hover over any comment and click an emoji reaction (👍) to give quick feedback.

Using @mentions and notifications

To ensure the right people see your feedback, use @mentions.

  • Type the @ symbol and start typing a name. Select the user from the dropdown menu.

  • Team & Clients: You can mention both internal team members and portal users (clients).

  • Notifications: Mentioned users will receive a notification via email and inside the app, linking them directly to your comment.

The "Heads up!" Warning

If you are a team member and submit a comment without mentioning anyone (and nobody else is already in the thread), Sydnee will show a "Heads up!" prompt. This ensures your feedback doesn't get missed by others who aren't currently watching the file.

Adding visual annotation pins

For images you can place numbered pins exactly where your feedback applies.

  1. Enter Pin Mode: Click the Pin Icon in the top toolbar of the file preview.

  2. Place your pin: Click anywhere on the image.

  3. Add your comment: A comment box will appear automatically. Your comment is now tied to that specific location.

  4. Interact with pins:

    • Click a Pin on the image to automatically scroll the comments panel to that feedback.

    • Click a Pin Number in the comment panel to make the corresponding pin on the image "bounce" so you can find it easily.

Tip: Switch the toggle to "View this version only" if you want to see only the pins and comments left on the current document version.

Managing comment settings

Team members can control whether commenting is allowed on a file-by-file basis.

  1. Click the Gear Icon in the top right of the Comments panel.

  2. Toggle Comments Enabled on or off.

  3. If comments are disabled by a parent folder or account-wide policy, you will see a lock icon explaining where the setting is coming from.
