Control Who Can See Task Sections

You can now control exactly who sees each section on your client task boards.

Sections can be:

  • Visible to everyone (default)

  • Hidden from the client portal

  • Restricted to specific people

This gives you precise control over what your team and clients can access inside a shared account.

Why This Exists

Not every project is meant for every set of eyes.

If you're managing multiple workstreams inside a single client account — some sensitive, some internal, some client-facing — you now have the ability to separate them properly.

Examples:

  • Internal planning that isn’t ready for the client yet

  • Sensitive legal or financial work

  • Confidential restructuring projects

  • High-profile client matters with limited team access

Each section can now have its own access rules.

How to Change Section Visibility

  1. Open any task board (List or Kanban view).

  2. Click the ⋯ section menu.

  3. Select Visibility Settings.

  4. Choose your visibility mode.

Only team members can change visibility settings. Portal users cannot.

Visibility Modes Explained

1. Visible to Everyone (Default)

The section and all its tasks appear normally for:

  • Team members

  • Portal clients

Use this for standard client-facing work.

2. Hidden from Portal

The section is invisible to anyone accessing through the client portal.

Your internal team still sees it.

Use this when:

  • Work is in progress

  • You’re drafting internal notes

  • You’re planning before presenting to a client

Clients will not see the section at all.

3. Restricted to Specific People

The section is hidden from everyone except a selected list of users.

This applies to:

  • Team members

  • Portal users

Being on the account does not automatically grant access. You must explicitly add each person.

Important details:

  • The account owner is always included automatically.

  • The account owner cannot be removed.

  • Only selected users can view or interact with tasks inside that section.

Use this for:

  • Sensitive workstreams

  • Confidential client matters

  • Limited-access team projects

What Happens When You Restrict a Section

When you enable restrictions:

  • A lock icon appears next to the section (visible to team members only).

  • Assignee and collaborator pickers automatically filter out users who don’t have access.

  • Anyone who no longer has permission is automatically removed from task assignments inside that section.

  • Task counts across dashboards and navigation only reflect what each user is allowed to see.

  • The tenant account owner always retains full access.

You can’t accidentally assign someone to work they’re not allowed to access.

FAQs

Can portal clients change section visibility?
No. Only team members can modify visibility settings.

Will clients know something is hidden?
No. Hidden and restricted sections are completely invisible to users without access.

Can the account owner be locked out?
No. The tenant account owner always has full access.
