Managing File Versions

Keep your workspace clean while preserving every draft. Learn how to upload new versions, track changes, and download historical files.

Avoid the "SocalPostPlan_V2_FINAL_FINAL.pdf" mess. Sydnee groups every revision of a file together using Versions, so you always see the most recent draft while keeping your history safe and accessible.

Uploading a new version

Instead of deleting an old file and uploading a new one, you can replace a file with a new version.

  1. Open the file you want to update.

  2. Click the Versions dropdown in the top toolbar or open the Versions side panel.

  3. Click the Upload New Version button (dashed-border box).

  4. Select your new file.

  5. Change Notes: Optional, but recommended! Add a quick description of what changed (e.g., "Updated figures based on Q4 receipts").

  6. Click Upload. The new file is now the "Current Version."

Switching between versions

Need to see what the document looked like last week?

  1. Open the Versions side panel.

  2. You will see a list of every version uploaded, who uploaded it, and when.

  3. Click any version in the list to switch the preview to that draft.

  4. To return to the most recent draft, click the version labeled Current.

Client access to versions

How your clients interact with versions depends on their folder access:

  • Full Access: Clients can view all versions, upload new versions themselves, and delete versions they've uploaded.

  • View Only: Clients can see and download all versions but cannot upload new drafts or delete anything.

  • Hidden: Version history is not visible to clients.

Note: If you want to keep internal drafts hidden from clients until they are ready, consider working in a "Hidden" folder first and moving the file to a client-facing folder only when finalized.
